1.Data We Collect

EncounterCaster collects only the minimum data necessary to provide the Service.

Account Information

When you create an account, we collect your email address. This is used solely to:

We do not collect your real name, phone number, or home address during registration.

User Prompts & Generated Content

When you use AI-powered features (encounter generation, life paths, campaign creation, etc.), the prompts and inputs you submit are processed to generate content. This includes:

Usage Data

We collect basic usage data to operate the Service, including:

We do not build behavioral profiles, sell your data, or use your data for advertising.

Short version: We collect your email address and the content you create. That's it.

2.AI & Third-Party Providers

How AI Generation Works

EncounterCaster uses third-party AI providers to generate encounter content, life paths, campaigns, and other creative outputs. When you submit a prompt, that prompt is sent to one or more of the following providers:

These providers process your prompts under their own terms and privacy policies. We recommend reviewing their policies if you have concerns about how they handle data.

What We Do With Generated Content

Content generated in response to your prompts is stored in your EncounterCaster account. You can view, edit, export, and delete this content at any time. We do not use your generated content to train our own AI models.

Important: Avoid including sensitive personal information (real names, addresses, financial data) in your prompts. Prompts are transmitted to third-party AI providers and are subject to their data handling practices.

3.Payments & Billing

EncounterCaster does not collect, store, or process any payment or billing information whatsoever.

All payment processing is handled entirely by Polsia, our third-party billing platform. When you make a purchase, you are interacting with Polsia's payment infrastructure — not EncounterCaster's systems.

Polsia uses Stripe for secure payment processing. For questions about billing data, please refer to Stripe's Privacy Policy.

We only receive confirmation that a purchase was completed — we never receive your financial details.

4.Cookies & Tracking

What We Use

EncounterCaster uses session cookies only — small data files stored in your browser that keep you logged in during your session.

What We Do Not Use

Local Storage

We use your browser's local storage to remember your theme preference (dark/light mode). This data never leaves your device.

We use session cookies to keep you logged in. Nothing else. No trackers, no ad pixels, no analytics.

5.Your Rights (CCPA/GDPR)

Regardless of where you live, we respect your privacy rights. If you are a California resident (CCPA) or an EU/EEA resident (GDPR), you have specific legal rights — but we extend these rights to all users.

Right to Access

You may request a copy of all personal data we hold about you, including your account information and generated content stored in our system.

Right to Deletion

You may request that we delete your account and all associated data. We will process deletion requests within 30 days. Note that some data may be retained for legal compliance obligations.

Right to Export

You may request an export of your data in a portable format. Contact us at the email below to initiate an export.

Right to Correction

If we hold inaccurate information about you, you may request correction.

Right to Object / Opt-Out

You may object to certain data processing activities. Since we do not sell data or run behavioral advertising, there is currently no sale of personal information to opt out of.

To exercise any of these rights: Email rwilliams2931@gmail.com with the subject line "Privacy Rights Request." Include your account email address and specify what you are requesting. We will respond within 30 days.

6.Data Retention

We retain your account data for as long as your account is active. Specifically:

You can delete your account at any time by contacting us at rwilliams2931@gmail.com.

7.Children's Privacy

EncounterCaster is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13.

If you are a parent or guardian and believe your child under 13 has created an account or provided personal information, please contact us immediately at rwilliams2931@gmail.com. We will promptly delete the account and all associated data.
